Seating layout, aisle width and stage size all follow from the expected attendance. Changing the number late is the single most expensive change you can make, because it moves the structure, not just the chairs.
If the event is going through procurement, ask for the quotation in the format your finance team needs at the start rather than at the end. GST-registered, itemised quotations and invoices are standard for corporate work and should not need to be requested specially.
For purchase-order workflows, confirm who raises the PO against what, and when.
Lighting, sound, air cooling and AV all draw load. Whether that comes from the venue supply or a generator changes what can be run and where cables sit, and it is much cheaper to plan than to discover.
Most venues charge by occupancy, not by event. Agreeing when the build starts and when the site must be clear protects your budget more than negotiating on the build itself.
